You do not need to be technical to build an AI workflow. This step-by-step guide walks you through creating your first automated workflow using AI — in under 30 minutes, with tools you can start using today.

What Is an AI Workflow?

An AI workflow is simply a repeatable process where AI handles one or more steps that you used to do manually. It is not a robot taking your job — it is a system that saves you from doing the same tedious task over and over again.

Examples of AI workflows include: automatically summarizing incoming emails and drafting responses, taking meeting recordings and turning them into organized notes with action items, generating social media posts from a blog post you have already written, or creating weekly reports from data in a spreadsheet. If you do something repeatedly and it follows a pattern, it is a candidate for an AI workflow.

Choose Your First Workflow

The best first workflow is one that checks three boxes: you do it frequently, it takes more time than it should, and the output follows a consistent format. For this tutorial, we will build a workflow for one of the most common use cases: turning rough meeting notes into organized summaries with action items.

This workflow requires nothing more than an AI assistant (ChatGPT or Claude) and a document where you keep your notes. No coding, no special tools, no technical setup.

Step 1: Define Your Inputs and Outputs (5 Minutes)

Before you touch any AI tool, get clear on what goes in and what comes out. For our meeting notes workflow: the input is your raw notes — bullet points, fragments, stream-of-consciousness text from during the meeting. The output is a clean summary with three sections: key decisions, action items with owners, and open questions.

Write this down. Having a clear input-output definition is what separates a workflow from just using AI randomly. It is also what makes the process repeatable — once you define it, you can use it every time.

Step 2: Create Your Prompt Template (10 Minutes)

Now create a prompt that you will reuse every time. Here is a starting template: 'I am going to paste my raw meeting notes below. Please organize them into a clean summary with the following sections: Key Decisions (what was agreed upon), Action Items (who is doing what, with deadlines if mentioned), and Open Questions (anything unresolved). Use clear, professional language. Keep it concise.'

Test this prompt with your most recent meeting notes. Review the output. If something is not right, refine the prompt. Maybe you want it to also include a one-paragraph executive summary at the top. Maybe you want action items formatted as a checklist. Adjust until the output matches what you would have produced manually — but in seconds instead of minutes.

Step 3: Save and Standardize (5 Minutes)

Save your final prompt somewhere you can access it quickly — a note in your phone, a pinned document, a custom GPT or Claude project. The point is that the next time you have meeting notes to process, you should not have to think about the prompt. You just paste in your notes, run the prompt, and review the output.

If you are using Claude or ChatGPT, you can create a project or custom instruction set that always applies this formatting, so you do not even need to include the prompt — just paste the notes and it knows what to do.

Step 4: Test and Iterate (10 Minutes)

Run your workflow three times with real notes from recent meetings. Each time, note what the AI gets right and what it misses. Common adjustments include: being more specific about the format you want, adding context about your team or project so the AI can be more relevant, and telling the AI to flag anything that seems ambiguous rather than guessing.

After three iterations, you should have a workflow that produces consistent, high-quality output with minimal editing on your part. That is your first AI workflow — and you built it in under 30 minutes.
